Lesson 1

Creating an Effective Invoice

Ensure your invoices contain the necessary information to avoid processing delays.

Necessary Elements

Every invoice is a legal document. It must include:

  1. Your details and the client's registered address.
  2. A unique invoice number (use a sequential system like INV-001).
  3. A clear description of the work delivered.
  4. Dates of service.
  5. Total amount due and tax (VAT/GST) breakdown.
  6. Bank account details (include sort code and account number clearly).
  7. A specific due date (e.g., 'Due within 14 days').

Presentation

Use software like Xero, QuickBooks, or simple PDF templates. A clean, professional layout signals that you run a serious business. Avoid messy Word documents that are prone to formatting errors. Send the invoice as a PDF file to ensure the client cannot accidentally alter the figures or payment details before processing it. Always verify the client's internal billing email address before sending.
